Rapid Energy is seeking a detail-oriented and proactive Account Administrator to join our dynamic team. In this pivotal role, you will be instrumental in ensuring uninterrupted service delivery to our customers, with a strong emphasis on fuel management. We’re looking for someone who thrives in a fast-paced environment – capable of juggling multiple responsibilities, placing and managing supplier orders, and providing critical support to our sales team. Key duties also include assisting with Pre-Qualification Questionnaires (PQQs) and overseeing credit control processes for client accounts.

Key Responsibilities

Fuel Management

  • Monitoring fuel daily and scheduling refills
  • Coordinating deliveries for orders.
  • Following up on deliveries.
  • Process purchase orders (POs).
  • Tracking deliveries against PO’s.
  • Monitor outstanding balances and follow up on overdue payments.
  • Work closely with the sales and finance teams to resolve account discrepancies.
  • Assist with customer queries related to accounts and payments.

Administrative Support

  • Add and manage contact information on our supplier forms o Complete PQQ forms o Handle ad-hoc tasks such as organising Christmas parties and managing incidents like car accidents involving engineers.

Sales Support

  • Provide administrative support to the sales team.

Account Support

  • Support the Hire Operations Coordinator in daily tasks.
  • Ensure smooth communication between sales, operations, and engineering teams.
  • Credit control support
  • Handle any additional tasks as required to support the overall operations of the company.

Job Requirements

  • Proven experience in an administrative role.
  • Excellent organisational and multitasking skills.
  • Strong communication skills, both written and verbal.
  • Ability to work under pressure and manage multiple tasks simultaneously.
    Proficiency in google suite and other relevant software
  • Excellent numerical and problem-solving skills.
  • Good communication skills
